01Who we are

This policy explains how Ramon Kordy trading as Streamline, ABN 77 469 869 723 handles personal information. It covers our website and the Streamline missed-call service.

From 10 December 2026 the Australian Privacy Act applies to us in full, regardless of turnover. We've written this policy to meet the Australian Privacy Principles from the start.

02Whose information we handle

Two different groups, for different reasons.

Our clients

Trade businesses who use the Service. We collect what you give us on the setup form: business name, legal business name and ABN, the first name used in your texts, email address, mobile numbers, mobile carrier, the suburbs you cover, the kinds of work you want flagged, and the numbers you ask us never to contact.

People who call our clients

If you ring a tradesperson who uses the Service and they don't answer, your call is diverted to us. We collect your phone number, the date and time, and the content of any SMS you exchange with the automated assistant — which will usually include what work you need and the address it's needed at.

We handle that information on behalf of the tradesperson you were calling. They decide what it's used for; we deliver the service to them.

03How we collect it

  • Directly from our clients, through the setup form and by email or text.
  • Automatically, when a diverted call or an SMS reaches the phone number we operate for a client.
  • From your replies to the automated assistant.

We don't buy contact lists, and we don't collect personal information from anywhere else.

04Why we use it

For clients: to set up and run the Service, to send you job alerts, to invoice you, and to send you the performance report for your account.

For callers: to send you a reply on behalf of the business you rang, to work out what you need, to pass that to them, and to let you know whether they can take the job.

We also keep records of calls and messages so we can support our clients, resolve disputes, improve the Service, and meet our legal obligations.

We do not sell personal information. Ever. We don't use callers' numbers for marketing, and we don't share them with anyone other than the business they were trying to reach.

05Automated decision-making and AI

The SMS conversation is handled by artificial intelligence, not a person.

When you reply to one of our messages, a large language model reads the conversation so far and decides what to ask next, what kind of job it is, how urgent it appears, and how to summarise it for the tradesperson.

The assistant identifies itself as automated if asked, and never claims to be human. It does not quote prices, make bookings or decline work.

No decision about whether you get the job is made by the AI. The summary goes to the tradesperson, and a person decides whether to accept it. If you'd rather not deal with an automated assistant, reply STOP or ring the business back directly.

06Who we share it with

We use third-party providers to run the Service. Each receives only what it needs, and each is bound by its own terms and privacy obligations.

  • Twilio (United States) — the phone number, calls and SMS delivery.
  • OpenAI (United States) — processes the text of the SMS conversation to generate replies and summaries. Under OpenAI's API terms, this content is not used to train their models.
  • Google (United States) — the spreadsheet where job records are kept.
  • n8n (European Union) — the automation platform that connects the above.
  • Netlify (United States) — hosts this website and receives setup form submissions.

We also share a caller's details with the tradesperson they rang — that's the entire point of the Service.

If a business referred you to us (for example your wholesaler or supplier), whether through its sign-up link or QR code, by you choosing it at sign-up, or by it telling us about you before you signed up, we let that business know that you signed up and whether you are a paying customer, so it can be paid its referral fee. We don't share your callers, jobs or other details with them.

Otherwise we disclose personal information only where the law requires it, or with your consent.

07Information sent overseas

As listed above, most of our providers are in the United States and one is in the European Union. By using the Service you agree to your information being disclosed to those countries.

We take reasonable steps to use reputable providers with published privacy and security commitments, but we can't guarantee that overseas recipients will handle information in the same way Australian law requires.

08How long we keep it

  • Job and call records: 24 months, then deleted.
  • SMS content held by our messaging provider: subject to their retention settings, currently up to 13 months.
  • Client account and billing records: seven years, as tax law requires.
  • Numbers on a do-not-contact list: kept for as long as the client uses the Service, because that's what stops us contacting them.

09Security

Access to our systems is limited to people who need it, protected by strong passwords and multi-factor authentication where available. Data is encrypted in transit.

No system is perfectly secure. If a data breach occurs that is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

10Accessing or correcting your information

You can ask us what personal information we hold about you and ask us to correct it. Email Admin@streamlineconsulting.com.au and we'll respond within 30 days. There's no charge.

If you called one of our clients and want your information deleted, tell us and we'll remove it, unless we're required to keep it. You can also ask to be added to a client's do-not-contact list so you never receive an automated reply again.

If we can't give you access or make a correction, we'll tell you why in writing.

11Opting out

Reply STOP to any message and the automated assistant will stop messaging you.

We only ever send messages in reply to a call you made to a business, which is why we send them at all. We don't send marketing SMS, and we never add callers to a marketing list.

12Complaints

If you think we've mishandled your personal information, email Admin@streamlineconsulting.com.au with the details. We'll acknowledge within five business days and give you a written response within 30 days.

If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

13Changes to this policy

We'll update this page when our practices change and update the date at the top. If a change materially affects how we handle your information, we'll tell our clients directly.
